When onboarding with SHOEBOX, you will receive a request from us to provide a list of employees active in the Hearing Conservation Program. This is to ensure we have the most up-to-date information and demographics. To help facilitate this process we’ve created this short article that you can share with your HR teams.
Why is SHOEBOX requesting the HR data?
- We need up-to-date information regarding who is an active vs. inactive employee, and in our experience, an HR list is the best way to get this information. If this isn’t done, inactive employees will show up in your due-for-testing report.
- Often we see that many employees in the historical audiogram data are missing their Employee ID, or their name is wrong (e.g., a nickname is used), which are required fields to import their data. An HR list gives us that correct information.
- It also allows us to upload recently hired employees who have no historical data into the system, so that they will already be in the system when you test.
Information needed in an HR list:
- First Name
- Last Name
- Gender
- Date of Birth
- Unique Employee ID
- Facility
- Employees marked as Active or Inactive. Employees on leave who may return to work should be included and marked “Inactive.” Only employees who have permanently left the company should be left out.
Optional (beneficial for reporting):
- Department
- Job position
- Job classification (morning vs night shift)
