Each patient that you add has a file in the SHOEBOX Data Management Portal. If the same patient has more than one file, you can merge the two files together to avoid duplication.
When merging two files, keep the following information in mind:
Before merging patients, you can review the two files side by side and select which file will act as the primary source of information for the patient.
If the secondary file has demographic information you want to retain in the new file, you can choose to have it replace the information in the primary file.
The attached files, audiograms, associated projects, and action history from both files will be retained in the new file.
Only users with access to the primary file will be able to access the new file.
| Important: Merging files can’t be reversed because the secondary file will be permanently deleted. However, you can view a summary of the merged information in the Required Action section of the new file. |
To merge patient files
Log in to the SHOEBOX Data Management Portal.
In the side menu, hover over Patients and click All Patients.

Find the two patient files you want to merge and select the checkboxes next to their names.

Hint: To quickly find the patient files you want to merge, use the Search field.

On the right side of the selected patients, click the three-dot menu icon and select Review and Merge.

In the Confirm and Review popup, review both patient files. Information that doesn’t match will be highlighted.

Click Select Record for the patient file you want to retain. This marks the file as the primary file.
If there is any demographic information in the secondary file that you want to retain, select the checkbox next to it. This will overwrite the information in the primary file.

After making your selections, click Preview Merge. The information that will be retained in the new file will be displayed. Review the file to ensure it includes all the information you want to keep.
After reviewing the new file, click Merge.
In the confirmation popup, select the I understand that this action cannot be undone checkbox, then click Merge.

After the merge has been completed, you will receive a notification at the bottom of the screen. To view the new patient file, click View patient.

In the Required Action section of the new file, you can view a summary of the merge by clicking on View Merge Details.
